Get the repetitive work off your team’s plate.
Through SubAI, we help you automate the intake, document processing, follow-ups, and reporting that slow your business down. SubAI builds the automation, keeps it running, and shows you how it performs.

Bring one process that takes too long. We’ll start there.
The small tasks are taking up a lot of the day
A customer sends a document. Someone downloads it, renames it, saves it, enters the details somewhere else, and emails the next person. Repeat that across your business and a lot of the day goes into moving work along. Customers wait for replies, and your team has less time for the work that needs their attention.
It is frustrating to see capable people tied up in filing and follow-ups. SubAI looks at those repeated steps and works out which ones software can handle. The goal is to give your team more room to serve customers and take on work, with people involved wherever their judgment is needed.
How SubIT and SubAI work together
SubIT provides managed IT services and cybersecurity. SubAI is a separate company founded by Manuel P. Carvajales, SubIT’s managing partner, to build and manage business automation.
The automation services on this page are delivered by SubAI. Your discovery call and any resulting automation engagement are with SubAI, with IT access and responsibilities coordinated as needed with your existing provider or internal team.
What could your team stop doing by hand?
These are examples to explore during discovery. The right starting point depends on your process, systems, and the amount of work involved.
Move new inquiries forward
Capture incoming details, flag missing information, and prepare the next step for the right person. Give your team a way to see which requests still need attention.
Cut the handling around documents
Organize incoming files, extract agreed information, and prepare it for the next step. Send incomplete or uncertain results to a person for review.
Keep follow-ups from slipping
Use an inquiry, due date, or change in status to trigger the next task or prepare a reminder. Agree in advance which actions can run automatically and which need approval.
Get reports without assembling them by hand
Bring information from your business systems into a recurring report. Make the numbers and outstanding work available to the people who need them.
Start with work that is worth automating
1. Talk through the process
On the discovery call, SubAI walks through what happens today, who handles it, and where it slows down. What could your team get to if that work took less of the day? You do not need a technical plan or a list of AI tools.
2. Get a written recommendation
If there is a worthwhile opportunity, the next step is a paid diagnostic. It produces a written report of the opportunities, a recommended starting point, and proposed pricing. You keep that report whether or not you move forward.
3. Build and test the automation
Before building, SubAI agrees with you on the work to be automated, the monthly fee, and a measurable success test. That might mean completing a task within an agreed time or producing work that meets an agreed quality standard.
The build and proving period are unbilled. Automation billing starts when the agreed test is met. There is no implementation fee; the diagnostic is a separate paid service.

Someone keeps it working after launch
Business processes change. So do the systems they depend on. SubAI monitors the automation, handles maintenance and fixes, and works through improvements within the agreed engagement.
Standard engagements include a weekly report, or monthly if you prefer. It shows completed work, the quality of the results, and what needs attention. Estimates of staff time released use a baseline you agree to and account for the work people still do.
Questions about managed AI services
What are managed AI services?
For SubAI, managed AI services mean building and maintaining automation for a defined business process. That includes connecting the relevant systems, testing the work, monitoring performance, and handling fixes. AI is used where it helps; some steps are better handled by ordinary software rules.
Can the automation work with our existing software?
That is assessed before a build is recommended. SubAI reviews the systems involved, the information they need to exchange, and the access they allow. The proposal explains the connections that are feasible and any changes needed. Support for a particular product is confirmed during scoping.
How is sensitive business information handled?
Before building, SubAI establishes what information the workflow needs, who may access it, and which services would process it. Data handling and review requirements are agreed for that workflow. Any industry-specific diligence is scoped separately before the affected work begins.
Will someone still check the work?
You and SubAI decide what can run automatically and what needs human review. Testing uses real examples and known exceptions. The automation includes rules for routing work to a person when it falls outside the agreed conditions.
What does the service cost?
The diagnostic costs $2,000 once. Custom managed engagements start at $5,000 per month; smaller deployments using a suitable existing solution start at $2,000 per month, subject to fit and capacity. Automation billing starts when the agreed success test is met. Larger engagements are scoped and priced before building. The diagnostic is credited against the first month if building starts within 30 days.

What if the automation does not pass its test?
SubAI can offer one fix cycle of up to 30 additional days at its cost, which you may decline. If the automation never passes, it is removed and you are not billed for it. The diagnostic remains payable for the written report. The proposal sets the test and any conditions that pause the proving period.
Which task would you most like to take off your team’s plate?
Bring the process that takes too long, gets entered twice, or needs another reminder. SubAI will help you decide whether there is a worthwhile place to start.
